Contacting the hotel

To answer enquiries we process your name, email address and correspondence, and information voluntarily provided by telephone. The form is available when email delivery is enabled. We rely on Article 6(1)(b) GDPR for enquiries about steps before entering into a contract, or Article 6(1)(f) GDPR for other enquiries: our legitimate interest is communicating with people interested in hotel services. Providing information is voluntary, but an email address and your enquiry are needed to reply. The form does not subscribe you to marketing or a newsletter.

Retention

Under the policy confirmed by the hotel, ordinary email correspondence is automatically deleted 12 months after receipt. Records needed to perform a contract, meet accounting obligations or handle claims follow separate retention periods according to their purpose and legal requirements. Technical logs are retained for as long as needed to secure and operate the service and diagnose errors, taking account of the provider’s log rotation cycle. The application’s contact rate limiter uses an IP address for no more than 10 minutes; it is not a correspondence database.

Recipients

This version of the website is hosted by DyalCom Sp. z o.o. Authorised reception staff, providers maintaining the hotel’s email infrastructure and technical support providers may access data as necessary to perform their services. The website application has no booking database or archive of form messages.

Providers such as Vercel, Resend and Google may also process data outside the European Economic Area. Such transfers are subject to the mechanisms in Chapter V GDPR, including appropriate standard contractual clauses or an applicable adequacy decision. You can request information about the safeguards from reception.

Profitroom bookings

Choosing dates and a guest count redirects you to Profitroom with those parameters. In the booking system you select an offer, provide booking and any payment details, and receive the terms of the selected offer and the relevant privacy and cookies information. This website’s policy does not replace the documents in the booking system.

Cookies, maps and external services

The website does not use Google Analytics, Meta Pixel or advertising cookies. Your language choice is reflected in the page address without a language cookie. The admin_session cookie is used only for staff sign-in and expires after 12 hours. Fonts and photos are served by the website; your browser does not request fonts from Google. Google Maps does not load automatically. Enabling it requires pressing the consent button after being informed about the connection to Google and possible cookies. You can turn the map off, stopping its operation here, but this does not delete cookies already set by Google; those can be removed in your browser. You can instead use the ordinary Google Maps link. When visiting Google, Profitroom or a social network, that service’s privacy information also applies. You can manage cookies in your browser; blocking technical cookies may affect the staff panel.

Your rights

Subject to GDPR conditions, you may request access, correction, deletion, restriction and, where applicable, data portability. You may object to processing based on legitimate interests and withdraw consent where consent was the basis. Deletion is not unconditional, for example where the law requires continued retention. Send requests to recepcja@hotelkolegiacki.pl; we normally reply within one month. You may lodge a complaint with the President of the Polish Personal Data Protection Office (UODO).
